SUMMARY OF THE POSITION: The On Call Bilingual Receptionist is a backup person for the regular receptionist staff when they are not able to work their shift. S/he greets visitors, answers all incoming calls and routes calls through the central telephone system to the appropriate department within the agency. This person performs communication functions in both English and Spanish and is responsible for referring visitors and/or clients to appropriate resources for needed services available within the Agency as well as throughout the County of Sonoma.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Greet and refer visitors and clients to appropriate department in a friendly, helpful manner.
2. Answer multi-line telephone system, route calls, dispatch FAX communications.
3. Provide visitors/callers (including monolingual Spanish speaking clients) with verbal or written information for agency programs or refer to outside resources within Sonoma County.
4. Answer routine questions about agency job openings, provide open job listings binder to applicants, distribute job descriptions and applications as requested.
5. Make directional signs for meetings that will be attended by offsite staff and/or visitors.
6. Process incoming mail upon arrival and distribute to appropriate departments.
7. Prepare outgoing mail in PM and deliver to postal mailbox at end of each day.
8. Other duties as assigned and appropriate.
REQUIRED QUALIFICATIONS:
• Ability to operate a multi-line telephone system.
• Ability to get along with all kinds of people in a friendly non-judgmental manner.
• Must have courteous and professional phone manner.
• Ability to effectively listen to and be compassionate with clients in crisis while demonstrating clear, concise decision-making skills.
• Ability to determine which staff member or program referral is needed by clients using basic questioning skills.
• Ability to operate office business machines including copier, fax and postage machines.
• Minimum 6 months reception and/or administrative assistance experience.
• Basic computer skills with email and word-processing software experience.
• Bilingual oral, reading and written communication skills in English and Spanish.
PREFERRED QUALIFICATIONS:
• Prior experience in a non-profit community service organization.
