Job Title: Membership Services Administrative Assistant/Transaction Coordinator

Location: San Mateo, CA

General Summary:

The Administrative Assistant/Transaction Coordinator provides a wide array of administrative, clerical, and basic real estate support services to the sales team to execute the established marketing plan and sales efforts.

Essential Job Duties:

Responsibilities include but are not limited to:

  • Provide general administrative support to the entire sales/marketing team as needed. This includes but is not limited to filing, general correspondence, scheduling, and preparation of weekly/monthly reports.
  • Keep timely, accurate and detailed reports and filing.
  • Assist in planning and executing marketing events onsite and offsite.
  • Prepare correspondence, prepare mailings, and transmit communications using various forms of media.
  • Communicate with potential residents and other sales agents.
  • Assist in the processing of listings, buyer and seller transactions and filing escrow documents.
  • Effectively manage, discern, and distribute calls to sales agents while collecting the necessary information for input into the CRM database.
  • Plan and coordinate special events hosted by the Marketing Team, room reservations, set-ups, and catering.
  • Other duties as assigned.

Other Duties:

  • Assist Membership Team as needed with paperwork and streamlining processes.
  • Prepare information folders for buyers and sellers.
  • Update all listed condominium files.
  • Generate weekly Marketing reports and distribute.
  • Assist in preparing Comparative Marketing Analysis for sellers.
  • Prepare in-house documents for buyers/sellers to sign prior to the close of escrow and distribute to the designated department heads.
  • Create, print, and address mailers, postcards, letters, etc. to prospective buyers
