Job Title: Administrative Specialist
Location: West Sacramento
Compensation: $21.00 hourly
Contract: 6months

Administrative Specialist:
The Administrative Specialist for the accounting department provides general and specialized support services for corporate and field staff and management. The Specialist also provides data entry support; assists with large document preparation; maintains contract files; provides general office support; assists with travel arrangements; assists with corporate archives and facilities management; provides computer assistance and performs receptionist duties as needed.

Administrative Specialist Responsibilities:
· Enter vouchers, invoices, budgets and other data into various spreadsheets
· Assist with large document and contract preparation
· Prepare monthly and quarterly Board and departmental reports
· Prepare internal and external documents, assist with formatting, typing, proofreading and editing documents in draft and final form, compile appendices and attachments and distribute copies
· Review, maintain and file original contracts ensuring the necessary requirements have been met
· Conduct vendor file and vendor certification audits
· Process and track employee airline reservation requests securing the best price and time for travel
· Perform receptionist duties as needed and serve as back-up for reception desk
· Assist with ordering supplies and inventory tracking
· Perform other duties as assigned

Administrative Specialist Requirements:
· Three years minimum experience utilizing standard office procedures and equipment
· Ability to read and interpret contractual language
· Proficiency with English language, grammar, spelling and punctuation
· Ability to use a personal computer at high-level proficiency using Word, Excel,
Outlook and Adobe
· Significant experience proofreading and editing documents
· Ability to work with minimum supervision and handle multiple priorities simultaneously
· Ability to follow detailed instructions
· Ability to problem solve
· Ability to effectively listen and communicate professionally both verbally and in writing
· Ability to work independently within a team environment
· Proficiency operating a multi-line telephone system
