BUSINESS OPERATIONS SPECIALIST

The position of Business Operations Specialist is an important multi-faceted role supporting key operational tasks throughout the agency. In this role, the candidate will work across multiple departments, including Finance, HR, IT, and administration to ensure a cohesive and smooth operation throughout the agency. The opportunity requires strong organization skills, communication, and the ability to multitask and manage multiple projects at the same time. This position will report to the EVP, Strategy & Business Operations, as well as working closely with other key members of the executive team.

Responsibilities:

  • Act as key point of contact for our external vendors, including Human Resources consultant, Accounting & Finance firm, and IT team
  • Assist with employee onboarding/offboarding tasks, including all new employee administrative documents
  • Liaise with outsourced HR professionals on matters regarding compliance, employee relations, etc.
  • When applicable, coordinate internal and external training for all levels of employees
  • Work with EVP and Finance team to executive monthly finance operations and reconciliation
  • Act as internal point of contact for questions regarding account and invoice status
  • Liaise with outsourced information technology professionals on company needs, including office technology, connectivity and equipment
  • In conjunction with HR duties, assist with IT onboarding/offboarding employees, collecting hardware, gsuite, email, etc.
  • Book all offsite meetings and events spaces through building management team, ensuring proper execution for all offsite meetings
  • Conduct research on best practices and resources available, and present to senior management team recommended options to improve business operations
  • Additional tasks as assigned by EVP Strategy and CEO
  • Work in conjunction with Executive Team to effectively and properly communication operational updates and concerns

  • ? Effectively communicates to senior leadership on HR, IT, Finance, and Administration needs
  • ? Improves overall agency business operations practices, ensuring proper alignment between all departments
  • ? Effectively manages projects as assigned, ensuring timely execution
  • ? Acts in best interest of company objectives and works well with fellow team members and senior leadership
  • ? Uses sound judgment in representing the company's values and objectives inside and outside of the office

    Preferred Skills & Qualifications

  • ? 3+ year in administrative and/or business operations role
  • ? Previous finance and/or accounting experience, preferably with a combination of Accounts Payable, Accounts Receivable, Bookkeeping, and/or Payroll
  • ? Strong experience in Microsoft Office, specifically ability to manage/create workbooks and models in Excel
  • ? Experience with Google Mail, Google Drive, and Google Calendar
  • ? Exceptional time management and verbal/written communication skills
  • ? Leader who can energize people and teams, and drive cross-functional team collaboration
  • ? Acute attention to detail, organization and efficiency
