Our client, located in Moraga, has need for an Executive Assistant for a temp to possible temp-to-hire assignment. Reporting to the VP of Communications, the Executive Assistant will be a key point of contact, both for other divisions as well as for the community at large. This role will be the face of the company, with heavy public engagement, all while providing fundamental support to a busy unit. This position requires working with all levels of staff and the public, addressing and troubleshooting concerns as they arise. This role works closely with the President and VP, Cabinet members and other administrative assistants, as well as most other departments, including Communications, Events and Scheduling, Human Resources, Facilities and more.

What are the key duties/functions of the Executive Assistant?

  • Maintains the VP's calendar, schedule meetings and organize and execute logistics (set-up, food, AV equipment, communication, etc.) for division planning meetings and other events.
  • Serves as point person for key survey results, outlining central operation of the division.
  • Oversees budgets, to ensure proper record-keeping, reporting and administration.
  • Helps to manage all expense transaction approvals in VP's system queue still pending authorization/approval
  • Periodically researches and reviews search sites to ensure the organization is being represented accurately, troubleshooting data and submittal issues when and where necessary
  • Prepares all vendor contracts and routing documents as requested by VP
  • Maintains calendar (Google Calendar) and schedule for VP and other key members of division
  • Provides all reporting as needed/requested by VP and above
What are the minimum essential attributes/qualifications required for this role?
  • Bachelor's Degree is required
  • Sharp, with a keen eye for both detail and accuracy
  • Impeccable communication skills (both written and verbal) and complete comfort engaging with all levels of staff, including high-level executives, as well as the general public at large
  • Possess a steadfastly calm demeanor, displaying true grace under fire.
  • Highly adaptable, particularly within an ever-changing environment with shifting priorities, personalities, pressures and procedures.
  • Extremely savvy with computers (Windows-based), particularly Microsoft Office (Word, Excel and PowerPoint) and Google Calendar
  • Able to self-resolve issues, working autonomously. This may from time to time needing to independently research how to handle resolve a certain matter or issue that has arisen.
  • Solid critical thinking skills and integrity- consistently demonstrating leadership by way of example
