Job Title: Executive Assistant

Reporting directly to the Executive Director (ED), the Executive Assistant will be the primary point

of contact internally and externally for the ED. They also are the liaison to the Board of Directors

and management team, organize executive outreach and external relations efforts, and oversee

special projects. The person in this role must be creative, community-oriented, and enjoy working in

a fast-pace, mission-driven environment. The Executive Assistant works independently on projects, and is able to work under pressure on a variety of activities and confidential matters with discretion.


First and foremost, the applicant must profoundly share our mission and vision of social justice

and be able to manage stressful situations with empathy and calm. Below are additional qualifications.

? 0 to 5 years of experience as an Executive Assistant or related administrative experience.

? Strong skills in Google Applications and MS Office Suite, Word/Docs, Excel/Sheets,

PowerPoint/Slides and internet research and social media applications a plus.

? Experience with Salesforce is desired

? Excellent organizational skills with outstanding attention to detail and follow through.

? Very strong listening, written and oral, including phone, communications skills.

? Outstanding interpersonal skills and the ability to build relationships with a broad range of

people, including staff, board members, external partners and donors/funders

? Proven ability to handle confidential information, manage competing demands on your time,

and provide a high level of client service and response

? Ability to meet high performance goals and deadlines in a fast paced environment

? Team-player who can also work well independently

? Demonstrated proactive approaches to problem-solving with strong decision-making


Duties and responsibilities

? Managing the ED's schedule, including scheduling meetings and conference calls.

? Completing expense reports, entering contacts and funder information into Salesforce,

preparing correspondence, arranging travel plans, and agendas, and compiling documents for


? Serving as the gatekeeper for the ED.

? Communicating directly, and on behalf of the ED, with Board members, donors/funders,

staff, and others.

? Demonstrating leadership to maintain credibility, trust and support with the leadership team.

? Keeping the ED well informed of commitments and responsibilities, following up as needed.

? Drafting acknowledgement letters, and other funder correspondence on behalf of ED.

Assisting with some grant applications and annual reports.

? Coordinating Board and committee meetings including scheduling and arranging meeting

logistics, preparing Board and committee materials, providing support at meetings, and

transcribing and disseminating minutes.

? Handling incoming and outgoing emails.

? Maintaining contact lists.

? Interacting with senior executives, customers, vendors, employees, and corporate partners

with a high degree of professionalism. Accompany ED to high-level off-site meetings.

? Preparing presentation materials, letters, and other business documents.

? Special projects and other duties as assigned.

Compensation: $25.00 - $28.00 per hour this is a temporary position for about 4 months - hybrid role
