Executive Assistant

Hourly Rate: $38.00-$40.00

Position Summary: The Executive Assistant will support the C-Level leadership team with daily administrative duties and completes a broad variety of high-level administrative tasks that include but are not limited to managing an active calendar of appointment, completing expense reports, composing, and preparing correspondences, arranging complex and detailed travel plans, itineraries, agendas and compiling documents for meetings. The ideal Executive Assistant demonstrates consistent excellent quality and thoroughness of work and a high degree of attention to detail.

Essential functions include but are not limited to:

  • Maintaining the executive leader's appointments, scheduling meetings. Overseeing travel arrangements and arranging conference calls.
  • Reviewing and prioritizing written communications directed to the executive leader and exercising sound judgement to resolve general matters.
  • Preparing incoming and outgoing correspondences. Assisting in answering and delegating matters for response follow-up, and/or directing to the executive leader as appropriate
  • Ensuring the timely preparation and delivery of materials and reports for both internal and external meetings.
  • Staying informed of all activities, issues, and operations within the company in order to effectively prioritize, coordinate, and monitor progress on requests, responses to internal and external inquiries, and projects. Maintaining tickler file for appropriate follow-up.
  • Processing expense reimbursements, timecard maintenance, invoices, and other internal reporting requirements in a timely manner.
  • Managing confidential matters with discretion and professionalism.
  • Performs other duties as assigned.

Education and/or Requirements:

  • Minimum five year experience of Executive Assistant experience, preferably from mid-large sized company.
  • Excellent organizational skills
  • Strong Attention to Detail is a must.
  • Time management, detail oriented, and multitasking skills.
  • Experience in successfully meeting deadlines.
  • Bachelor's level education.
  • Experienced in team work with diverse education, skills, and background staff.
