Executive Offices Administrative Assistant

Our Executive Offices Company seeks an Administrative Assistant who is a well-organized professional with a great customer service attitude to join our team.

Job Description Summary

Providing broad administrative support to our clients with a variety of clerical activities and related tasks, the Administrative Assistant will be responsible for ensuring a smooth workflow within the office while assisting clients with their administrative needs. The qualified candidate will be a self-starter, able to work autonomously, yet also successfully as part of the team, while providing great customer service in a professional manner. In this position, follow through, attention to detail, and ensuring deadlines are met is imperative.

Essential Functions

· Provide full administrative support, answering phones, greeting visitors, typing correspondence, and filing

· Assists in lease administration activities, including tenant contacts and insurance information

· Prepare and code invoices for management's review and approval, including tenant bill backs, and monthly meter readings

· Ensure office is stocked with office supplies and other required items to maintain the office

· Maintain conference room schedule for clients


· Must be proficient in Microsoft Office Suite (Outlook, Word, Excel, etc.)

· Strong time-management, organizational, and proactive problem-solving skills

· Understands and follow directions, and able to give direction when needed

· Strong interpersonal skills, able to effectively communicate in a professional manner with all levels of management and staff

· Excellent overall communication skills (Speaking, listening, and writing, which includes spelling and grammar accuracy)

· Detail oriented and able to work multiple projects simultaneously while maintaining a professional and customer service-oriented attitude

· Self-starter with ability to work independently

· Must be reliable, punctual, and have a pleasant demeanor

· Ability to maintain discretion and confidentiality at all times

· Able to learn software programs and pick up new skills when needed

Education and Experience Requirements

· High School diploma

· 3 years Administrative Assistant experiences

Work Environment and Physical Demands

· Professional office environment using standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines

· Mainly sedentary role though some filing and supply maintenance requires the ability to lift files and supplies, open cabinets, bend, crouch, stand, and walk

Other Information

· Not a supervisory role

· Non-exempt position subject to overtime laws

· Full time position, Monday through Friday 8am to 5pm

· Must legally be allowed to work in the U.S.
