Job Title: Facilities Coordinator

JOB SUMMARY: The Facilities Coordinator assists and supports all daily facility-related

operations, including helping to remain in compliance with all regulations and ordinances, as

well as helping to provide a safe and comfortable work environment. This role will be

responsible for initiatives and projects that may span multiple offices/departments and involve

direct interactions with all firm personnel.

ESSENTIAL FUNCTIONS include the following. Regular and predictable attendance in the

office is an essential function of the job.

Provides firm-wide multi-office facility support including but not limited to the following:

? Schedules and oversees routine maintenance, repairs and support (equipment, space,

furniture, etc.).

? Assists and maintains preventative maintenance schedules. Ensures HVAC units for

the firm's server rooms are regularly maintained.

? Coordinates, schedules and oversees contractors, movers, trade persons, and

contracted services (i.e. plant maintenance, painters, plumbers, carpenters, carpet

cleaners, furniture repairs).

? Solicits bids/estimates and makes recommendations related to purchases from

vendors. Satisfactorily addresses vendor issues that arise in a timely manner.

? Assists with coordination of office location moves, buildouts, expansions.

? Assists in maintaining office floor plans.

? Assists with onboarding of new hires; helps with departures or relocations.

? Assists with ordering firm stationery and business cards.

? Assists with ordering, removal or transferring of nameplates for new, departed or

relocated employees.

? Assists with reviewing and processing vendor invoices in a timely manner.

? Oversees requests for ergonomic assistance in offices/workstations; identifies needs

and makes recommendations for resources or processes to enhance employee

productivity. Installs keyboard trays and monitor arms where needed. Maintains

inventory of ergonomic supplies. Oversees installation of sit/stand desks.

? Assists with furniture moves; handles basic repairs; hangs bulletin boards,

pictures/artwork.

? Interfaces with building management, janitors, engineers and other building staff.

Emails or uses tenant portal to submit building requests as needed.

? Coordinates and oversees the firm's life safety program, including AEDs

maintenance and coordinating applicable training.

? Assists with maintaining office security, which includes managing reception panic

button, security database, access cards (ordering, programing, trouble-shooting

issues, cancelling and auditing), ordering building keys as needed.

? Assists with meeting/conference room scheduling and coordination which may also

include disinfecting of high touch areas, cleaning, set up/removal of tables, food,

drinks, supplies, audio/visual equipment, etc.

? Assists with coordination of hoteling offices, which includes restocking of supplies,

cleaning and disinfecting all high touch areas.

? Assists with special projects, including possible research, setup, implementation.

? Light maintenance and housekeeping duties throughout the office space as needed.

? Serves as back-up to the receptionist as needed.

? Other duties as assigned.

? Works overtime and/or on weekend, as necessary and pre-approved.

? Travels to other offices as necessary

MUST BE ABLE TO LIFT 50 LBS

Education: Some college preferred.

Experience: Three years' prior facilities coordination experience desired, preferably in a

professional services firm. Some supervisory experience desirable.
