Office Administrator

Compensation: $27-34/HR

Job Summary:

The Office Administrator will coordinate office activities and operations while providing clerical and administrative support to executive management and multiple corporate departments.

Front Office Responsibilities:

  • Handle requests for information, both external and internal.
  • File and retrieve corporate and organizational documents, records, reports, and reference materials.
  • Provide occasional coverage of front desk reception area; including but not limited to answering, screening, and directing incoming phone calls; interacting with visitors, clients, and vendors; opening, sorting, logging, and distributing incoming mail and packages; preparing outgoing mail and online labels for outgoing overnight/express packages; distributing incoming faxes; scanning and emailing correspondence and documents.
  • Arrange and pick up lunch/refreshments for staff meetings.
  • Assist with the planning and execution of company events.
  • Provide administrative support to corporate departments (such as Finance/Accounting, Marketing) when project backlog occurs.
  • Other duties as assigned.

Continued Responsibilities:

  • Prepare expense reports and reconcile corporate credit card statements.
  • Coordinate travel schedules and make reservations.
  • Process registrations for attendance and participation at conference and seminar events.
  • Arrange conference calls and schedule meetings. Coordination of complex executive meetings and ability to transcribe minutes.
  • Communicate and handle incoming and outgoing communications on behalf of the executive staff.
  • Other duties as assigned.

Cont. Responsibilities:

  • Perform daily administrative tasks in support of the Human Resources department, including but not limited to, conduct employment verifications, process Paid Time Off (PTO) requests and track staff certifications.
  • Maintain records, documentation, and files, particularly more complex or sensitive files such as employee files.
  • Other duties as assigned.

Minimum Job Requirements:

  • 2-5 years of related work experience, such as providing support and assistance at the executive level or within a Human Resources department
  • High school diploma or general education degree (GED)
  • Proficient computer and internet research skills, with a strong knowledge of Adobe Acrobat and MS Office, including Word, Excel, Outlook, and PowerPoint
  • Must be able to type at least 65 wpm
  • Valid driver's license with clean driving record
  • Must be willing to work beyond normal business hours in order to ensure project completion
  • Ability to travel to company offices and project sites, on a limited basis

Preferred Job Requirements:

  • Bachelor's degree from a four-year college or university
  • Experience handling multi-line telephone systems

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer
  • Must be able to lift up to 10 pounds
