Office Manager

Location: Petaluma CA

Compensation: To $100k plus bonus and great benefits

Overall Objective: Managing the day-to-day functions and responsibilities of the company as well as implementing continuous improvements in order to continue to track growth objectives and maintain our dynamic, problem-solving culture. The position is central to the organization and is essentially the right- and left-hand person to upper management.

As office manager the position would require working to improve efficiency through process improvements and controls implementing programs to increase profits and oversee the health of the divisions. This would include managing staff, schedules, reviewing financials (A/R, A/P, profit margins, cost of services etc). Must possess good judgement and discretion, initiative, resourcefulness and problem-solving ability.


  • Daily review of the AP/AR/Expenditure oversight/Payroll expenditure is in line with project
  • budgets.
  • Bookkeeping is updated daily.
  • Project costing; daily tracking of projects, costs, etc.
  • Oversee budgets and monitor expenditures to ensure spending is in line with revenue.
  • Aging is kept within the allotted terms-collection calls as needed
  • Tracks insurance payments and updates with adjusters.
  • Helps with Xactimate creation and/or oversight


  • Maximizing scheduling for operations
  • Interface and articulate with clients and insurance companies project status.
  • Oversight on daily objectives and be responsible for customer satisfaction.
  • Hold calendar for culture building to increase communication and team building
  • functions focused on employee retention.
  • Hold calendars and tasks to ensure completion for COO and CEO.
  • Leads by example, upholding excellence, acting profitably, and being an agent of change.


  • Tracking of growth initiatives and metrics, weekly reporting and end of month.
  • implement customer service programs within the division, requesting reviews and creating virality.
  • Track to own KPI growth objectives quarterly.


  • Experience as an office manager in construction, maintenance, restoration or service-based business is a plus.
  • Strong excel experience
  • Communicates regularly with upper management on updates and next steps
  • Knowledge of CRM systems

  • Keeping tabs on various projects and their status
