KEY FACTS ABOUT Community Foundation Sonoma County * Community Foundation Sonoma County was established in 1983. * Our main office is located in Santa Rosa, California. * We have a dedicated and knowledgeable staff of 15. * Since inception, the Community Foundation and our donors have awarded $225 million in grants.

The Opportunity
The Philanthropic Planning Assistant will provide clerical and project support to the VP, Philanthropic Planning. In addition, they will provide backup for the processing of donor advised grants, as well as share responsibilities with members of the CFSC administrative staff for certain front office duties.

Essential Duties and Responsibilities include the following:
* Supports Senior VP & Director of Philanthropic Planning as needed.
* Conducts targeted research for Philanthropic Planning Team.
* Supports donors year-end gift making.
* Prepares reports as requested on donors and prospects
* Updates and maintains database records as needed
* Assists with selected projects as requested.
* In rotation with other administrative staff, serve as foundation's receptionist, answering the main line and greeting and providing hospitality to visitors.
* In rotation with other administration staff, acts as contact for and scheduler of outside use of the Foundation's board room and provides set-up and take-down of committee and board meetings, including coordination of refreshments and meals, as needed.
* Assists with mailings; performs mail merges of letters to donors and others. o Organizes and maintains department electronic and paper files as needed.
* Assists with Philanthropy Department events as needed o Helps administer and maintain grants workflow processes and procedures to ensure adequate internal controls and donor satisfaction.
* Implements grants due diligence policy and procedures.
* Prepares grant packet and mailings and ensures their electronic storage.
* Supports as Backup to Donor Grantmaking Processing (including agency and designated grants)

Competencies and Qualifications
* A minimum of 3 years of experience as an administrative assistant.
* Excellent customer service and communication skills.
* Strong internal and external customer service ethic & personal warmth
* Typing speed of at least 45 words per minute with high level of accuracy
* Strong writing skills and ability to generate content for social media platforms
* Excellent skills in the use of Windows 10, Microsoft Office programs, donor databases, and the Internet; ability to perform mail merges, manipulate Excel data, and create graphs and charts in PowerPoint
* Strong use of Microsoft Outlook
* Use of WordPress is preferred, but not required
* Excellent interpersonal skills and ability to work collaboratively and effectively with individuals of diverse backgrounds
* Ability to work effectively with colleagues as a member of a team
* Ability to learn, understand, and use Community Foundation Sonoma County's database (past database experience required)
* Strong organizational skills and attention to detail
* Ability to multi-task and manage several projects simultaneously
* Demonstrated ability to meet deadlines
* Ability to research and compile information, prepare reports and write correspondence
* Ability to work with sensitive information and maintain complete confidentiality
* Development or fundraising training or experience preferred
* Ability to thrive and work accurately in fast-paced, changing environment

Salary: The salary for this position will be commensurate with qualifications and experience

Benefits: As a benefit-eligible, full-time, regular employee of the Foundation, you will be eligible to participate in a number of employer-sponsored benefits, including the following:

HEALTH BENEFITS: Employees are eligible to receive all health benefits offered by CFSC, including medical, dental and vision insurance, effective the first of the month after your employment begins. Employer pays 100% of employee coverage and 60% of dependent coverage. Medical-Kaiser choice of plans. Dental-Delta Dental Vision-VSP
VOLUNTARY BENEFITS/FSA: Employees are eligible to participate in an FSA Plan for medical reimbursement and dependent care; and employees can purchase supplemental voluntary benefits through Colonial.
VACATION: New full-time employees are eligible for 10 days per year which accrues from the hire date; after one year of service, employee will accrue 15 days per year; after four years of service, employee will accrue 20 days per year.
SICK LEAVE: Full-time employees will accrue Sick Leave from the date of hire at the
rate of 80 hours per year (3.333 hours per pay period). Once the accrual reaches 160 hours further accruals stop until the balance falls below 160 hours;
LIFE INSURANCE, AD&D and LONG-TERM DISABILITY: CFSC provides an employer-paid Group Life Insurance and Accidental Death and Dismemberment policy, and Long-Term Disability for each employee.
HOLIDAYS: In 2020 there are twelve scheduled CFSC paid holidays.
RETIREMENT: CFSC has a 403(b) savings plan to provide employees the potential for future financial security for retirement. Following an employee's first full year of employment, they are eligible to receive discretionary employer contributions into the Plan. The 2020 financial plan includes a discretionary payment to all employees of 6% of their eligible compensation.
