Terminal Coordinator
Our client, a leader in specialty oil premium products and technical services, is seeking a full-time, permanent Terminal Coordinator to join their Marin-based office. After 30+ years in the industry, the company continues to grow thanks to an emphasis on building consultative, long-term relationships with clients. The right candidate will be a dependable team player with strong communication skills, the ability to work independently, and an interest in learning the industry. This is a full-time position.

Key Responsibilities:
Responsible for maintaining proper inventories in assigned terminals based on existing and forecasted demands provided by sales personnel. Orders replacement supply from established suppliers via procurement procedures.
Reviews open orders with Order Entry/Fulfillment Specialists and schedules with terminal accordingly. Coordinates all shipments from suppliers to assigned terminal. Trucks and railcars scheduling to customers is handled by others.
Tracks progress of all deliveries to terminals. Supplies as required paperwork to Order Fulfillment Specialist<st1:stockticker w:st="on"> and paperwork to supplier (purchase order, delivery instructions, etc). Such documents are further retained and stored in filing systems and/or paper filing system.
Tracks terminal inventory daily. Works with terminal operating personnel to ensure orders and inventory are in proper order and ready for either shipment or re-supply.
Tracks terminal supply inventories. (Vitamin E, sample bottles, seals etc.)
Reviews sales forecast against inventory and reorders supply as required from established suppliers, typically by barge or railcar (and on an exception basis, by truck).
Tracks and determines which inventory has been tested and ready for sale (e.g. all white oil supplies).
Prepares and distributes all Bill of Laddings for products
Business Development:
Obtains quotes for assigned terminal services for Business Development Manager as well as Sales staff to support new opportunities as well as sustain current business.
Establish preferred transportation companies, manage relationships with carriers, and develop tools for other staff to make profit conscious decisions based on published rates.
Provide sales with all bulk truck rates as requested.
Order Entry/Fulfillment:
May be required from time to time to fill in for some of the duties of the Entry Order /Fulfillment Specialist based on workload and personnel availability.
Handles special shipments which are not routine (e.g. flexi bags, iso-containers, drums). These may originate at the assigned terminal or directly from supplier.
Follows and coordinates marine orders to customers and resupply; these movements are typically originated and developed by others (e.g. VP- Operations).
Other Responsibilities:
Responsible for supervising other staff members in the following areas mentioned above: Terminal(s), Inventory, Business Development, and order entry/fulfillment.
Verification and processing of all invoices related to terminals, inspections, freight and other logistics costs.
Resolves customer, freight, or supplier concerns related to terminal and/or shipments outbound of assigned terminals.
Must have previous inventory management experience
4yr College Degree
Ability to work independently and with a team
Dependable, flexible and an interest in learning the industry
Strong communicator
